Overview of Club Sport Tiers
We have 3 different types of club sports/athletic based organizations and to better manage the resources provided to them, they fall in one of three sections. The grid below better explains what requirements and resources are available for the three types of club sports. Before each school year, every organization will have the ability to request to be moved to a different type based on their expectations for the next year. There are limited resources available for all of our club sports and it will be important for us to put a priority on those organizations that meet all of the requirements to be Tier 1 consistently.

Explanation of Requirements
- Standard Student Organization Requirements - All club sports are required to complete all requirements as outlined by the Office of Campus Activities (OCA) related to all student organizations including but not limited to registration & training.
- Accurate Roster maintined with Campus Recreations - All Tier 1 and Tier 2 teams must maintain an accurate up to date roster with Campus Recreation. As players join and leave the team, officers must update Campus Recreation within a reasonable time frame.
- Physicals for all players (at beginning of playing career) - This requirement for Tier 1 teams will be managed by Campus Recreation and officers will receive information in the summer about this.
- Annual Re-Registration & Tier Request - Towards the end of the Spring Semester Campus Recreation will announce the timeline for an end of the year report and tier request form. This form must be completed for teams to request to remain or move tiers. Any club sports who do not complete this process will be assumed to be part of the Recreational Tier.
- Annual Postyear Report - As part of the Re-Registration & Tier Request every Tier 1 club sport wishing to remain a Tier 1 club sport will be required to provide a postyear report as outlined by Campus Recreation
- Trip Registrations with Campus Recreation - All Tier 1 and Tier 2 club sports must register every trip to tournaments, games, practices, etc. with Campus Recreation. More information will be provided to officers during training meetings.
- Concussion Baseline Testing (Sway) - All Tier 1 club sports teams will work with Campus Recreation to ensure that players have completed this in a timely fashion.
- Annually sign club sports waivers - All Tier 1 and Tier 2 club sports must have players complete all waivers as outlined by Campus Recreation
- Part of a league, conference, or equivalent for competition - All Tier 1 club sports must have some sort of organizing body that they are a part of for the year. Campus Recreation will work with each team to ensure that a reasonable equivalent is available.
- Consistent Roster of full lineup + 25% - All Tier 1 and Tier 2 club sports must maintain an active roster that is equivalent to a full lineup plus 25% to remain in either Tier. Teams that are smaller than this will be considered Recreational until the organization can recruit enough members to request a new Tier. A full lineup plus 25% means whatever your sport requires at a minimum to be on the field (or equiavlent) to compete plus 25%. So if your sport requires 10 people competing at once then you must maintain an active roster of at least 12.5 people.
- Consistent Competition Schedule - All Tier 1 club sports must maintain a competition or performance schedule. If you are not able to consistently compete your organization will be moved to Tier 2 or Recreational as necessary
- Must charge dues in some form per player or have robust fundraisers to offset the costs of the team - All Tier 1 club sports, are expected to offset the high cost of club sports operations through an appropriate dues structure coordinated with Campus Recreation. A dues structure may be replaced with proven evidence of robust fundraising. It is not intended for the Operating Budget provided from the Student Activity Fee to cover your entire season. Every team will be expected to raise a large portion of their season costs through these methods.
- Have a University Recognized Coach - All Tier 1 club sports must work with Campus Recreation to have a recognized coach. This coach does not have to be paid but must be involved heavily in the management of the team.
-
Explanation of Benefits
- Consistent Scheduling Priority (Duf, Carlini, Cardinal Stadium, Kane Center) - Tier 1 club sports will be given priority in coordinating recurring schedules for practices with the support of Campus Recreation.
- Access to Athletic Training Room - All athletes on a Tier 1 or Tier 2 roster will have access to visit the Athletic Training Room in the DuFour Center for sports related injuries and care
- Annual Operating Budget (see funding guidelines) - All Tier 1 club sports will have the ability to request and receive an Operating Budget for the year. This budget is not meant to completely fund your season as noted above in the Explanation of Requirements but will cover a portion of general operating expenses for the team from the Student Activity Fee
- Ability to receive donations on club sports page - All Tier 1 and Tier 2 club sports can be listed on the Club Sports page and be included in the University Advancement listing of club sports to receive donations
- 2nd Priority for consistent scheduling - Tier 2 club sports may be able to get recurring schedules for practices with the support of Campus Recreation but priority will be given to Tier 1 club sports as outlined above
- Access to individual schedule options - All club sports will have access to coordinate with Campus Recreation to have individual scheduling needs met for individual games, events, etc.
- Access to Treasury Board Requests for Campus Events not for Operating Expenses - All club sports may request funds from Treasury Board but only for the purposes of campus events. This is not for part of your operations but rather events where the campus community is a part of. Past examples of this would include:
- Showcase performance for the campus community
- Learn to play event marketed to the campus community
- Social event not part of your schedule like ESports Just Dance event
- Access to Campus Recreation Qualifying Events Fund (example - Nationals) - Each year Campus Recreation will set aside a fund available for club sports to request from upon qualification for a non guaranteed event. This could be qualifying for a regional event or a National event based on other competition. This fund is available to Tier 1 club sports and if enough is avaialble in a given year, also to Tier 2 club sports.
- Use of University Transportation - Along with all student organizations, All club sports are eligible to use University transportation

Funding Guidelines (Tier 1)
As part of the funding process for Tier 1 Club Sports, your organization will submit an annual operating budget request to be reviewed by Campus Recreation, Campus Activities, and Treasury Board. As noted in other areas of this page, no organization should expect to receive funding to cover all necessary expenses. Your organization is expected to charge dues in some capacity or have a consistent approach to fundraising. The process for funding is as follows:
- A Tier 1 Club Sport will be sent a breakdown of the last 3 years of their expenses by Campus Recreation. From here your organization should review the expenses and update a request to compare to the previous years explaning any changes to your anticipated expenses. For example if you previously spent $5000 on lodging and you believe you will spend $7000 the next year you will need to outline why this increase is expected. In this request you will also outline how you approach the fundraising requirement. This could be a set amount you charge per player in dues, it could be an overview of items that are directly purchased by members, or it could be an overview of how you consistently fundraise for your team.
- Once this is submitted, Campus Recreation, Campus Activities, and Treasury Board, will review your request and determine an accurate necessary budget needed to exist as a team. Please note that for the purposes of us determining what your organization needs we will consider the following specific funding guidelines. Please note that these guidelines do not stipulate how you can spend your money but rather how we will identify your budgetary needs:
- Lodging - For the purposes of your budget we will consider all hotel needs to be comporable to 4 students per room and 1 room for coaches. If you choose to have more coaches that can fit in a room or similarly if you choose to put less than 4 students in a room it is assumed that you will have identified enough additional funding to cover those costs.
- Coaching - How much you choose to pay your coach isn't necessarily what will be considered. Instead what is determined by Campus Recreation and Campus Activities to be a reasonable number of and reasonable compensation for coaches will be used for the budgetary purposes.
- Once the overall budget needs are determined, we will identify an appropriate portion of that budget for the activity fee to cover and that is the amount that your organization will start with for the next school year.

Annual Re-Registration & Tier Request
In the Spring Semester each club sport will be notified when the Annual Re-Registration form is open on your Nest page. On this form you'll also have the ability to request what Tier you want to be in for the upcoming year. If you select Tier 1 you will then be asked to complete the Annual Postyear Report as part of that registration.
